Position Overview

We are seeking a highly organized and detail-oriented Human Resource Administrative Assistant to join our dynamic team at Breadstack. In this dual-role, you will support both HR functions and general administrative tasks. You will assist in recruitment, employee onboarding, benefits administration, and play a vital role in maintaining office operations. The ideal candidate is a team player with strong technical skills and a proactive attitude.

HR Responsibilities

  • Support the recruitment process by sourcing candidates, performing reference checks, assisting with shortlisting, and issuing employment contracts.
  • Set up, update, and maintain employee records in HRIS (Humi).
  • Schedule and coordinate meetings, interviews, and HR events.
  • Facilitate onboarding and orientation for new hires to ensure seamless integration into the team.
  • Prepare a variety of Human Resources correspondence, documentation, and internal/external communications.
  • Assist with the preparation and submission of reports for the Executives.
  • Coordinate internal and external training programs, ensuring departmental training requirements are up to date.
  • Assist with HR-related inquiries or requests, providing timely support.
  • Manage subcontractor documentation (e.g., WCB, CPSI, criminal record checks, insurance) to ensure compliance.
  • Facilitate company performance reviews.
  • Participate in monthly HR ops meetings with our offshore office.
  • Assist with the development and updates of HR policies and procedures.
  • Process Record of Employment (ROEs).
  • Support and report directly to the VP of Operations, assisting with various HR projects as required.

Administrative Responsibilities

  • Perform general office tasks such as filing, typing, and data entry.
  • Answer and direct phone calls with professionalism and courtesy.
  • Maintain office organization and cleanliness.
  • Order office supplies as needed
  • Adapt to changing business priorities and provide support as needed.

As our ideal candidate, you are

  • Bachelor’s Degree, Diploma, or Certificate in Human Resources or equivalent.
  • Administrative and/or HR-related experience.
  • Satisfactory verification of criminal record check.
  • Proficient using office equipment, Microsoft Office programs (Outlook, Word, Excel, PowerPoint, and SharePoint) with advanced abilities working with Microsoft Excel.
  • You effectively manage your time while balancing multiple priorities.
  • You clearly express your thoughts in conversation and in written communication.
  • You seek to understand and listen to others in a non-judgmental way.
  • You focus on detailed accuracy when dealing with a high volume of work.
